Archive tour sideArchives are important institutions, collectively containing the documented memory of our country.  One of their main functions is to unlock these records and make them available for research.  As such, archives are invaluable to genealogists, even though they may seem overwhelming at first. How do they work? Where do you start?
GSSA’s well-known Archive Tours or Archive Crawls are very popular as an introduction to assist the beginner genealogist to become familiar with archives in a hands-on practical way, but equally so for more advanced researchers to be well prepared for their archive visits and make optimal use of them.
Why is the GSSA offering these tours? The Archive Tours are focused on GSSA members with the aim to develop and hone the research capability of members, whilst building team spirit among GSSA members and branches.
The objectives include:
  • Introducing beginner genealogists to archives – how they work, what they offer, how to find what you are looking for, etc.
  • Equipping beginner and seasoned genealogists on how to come prepared and make optimal use of archives – in other words to get the most out of a visit in the shortest possible time; and
  • Enabling members to do their own research and make good progress with their research in a supported context during the tour.
On these pages you will find information of archives, a typical programme of the archive tours, as well as the annual schedule, some feedback / report back from previous tours, answers to some frequently asked questions (FAQ) and the contact details if you are interested.

Why should I participate in such a tour?
You receive training and support - that is too the point.  A week-long tour enables one to know where and how to start researching one’s own family history. One becomes familiar with archives and libraries that contain much detail that one cannot easily find on the internet.
Do I only learn how to do research?  Must I work on some project of the GSSA?
No.  After finding out how, one would use all the time to work just on one’s own family or interests.
What does it cost and what is included?
Consult the Annual schedule on the left hand-side guide.  Bottom line is that everything is included.  No extra costs are to be expected.  Even pocket money is used to a minimum as there are not many possibilities to spend.  You only pay for some refreshments of your choice at lunch time.
Costs are worked out without a profit for the GSSA or the tour organiser.  In fact, the GSSA annually contributes to the tours with a subsidy.
What if I have to cancel?
If you can find a replace ent or another interested member is already on the waiting list, you will be refunded.  Otherwise, you may lose your deposit or part thereof depending on overheads and how much already has been paid to service providers.
What is expected of me (as participant)?
As a member or prospective member of the GSSA (we focus these tours on members), you must have a strong desire to research your ancestors and their history.  Furthermore, you must allow some time to study the briefing emails that will be sent to each participant before the tour. You might even have to complete one or two small (easy-to-do) assignments as preparation.
What if I get stuck?
Not to worry.  Assistance and support are available throughout, during preparation time and during the tour.
What can I expect?
Don’t expect presentations or a sightseeing tour – this is a working tour.  The aim is for participants to be productive and you should be able to complete the bulk of a substantial piece of research work….
Why must we register ahead of time?
Besides the time we require to book service providers and helpers, we arrange for payment of deposits to these service providers.  Therefore, an early deposit payable by each prospective participant is requested.
Can I bring a friend / family member along?
Sure, but only if she or he is also working on some research or knows how to keep busy during the day when we are all doing research.  If this is not a family member, the person also has to join GSSA.  Of course, the full price is also payable by for both participants.
What can I take into the archive?
Every archive or institution has its own rules. In most cases, laptops are allowed for use in the reading room.  However, photography is generally not allowed; this is to protect the very old and brittle documents.  You can request photocopies of these documents, although in some instances it would be mailed afterwards. Always use old fashioned pencil and paper (no pens are allowed!).

Products and Services
Familia is not only intrinsically tied to the history and development of the GSSA, but also its flagship product since 1964.  In addition to this quarterly journal there are also various other periodic branch publications,, typically associated with and published by the different branches. Many family registers are shared with GSSA, these are free to download and for use in your personal research.
The GSSA library collection of genealogical books and publications, as well as access to some virtual resources are available and housed within the library of the Heritage Foundation at the Voortrekker Monument, in Pretoria. The eGGSA’s virtual library houses several collections of photographs, as well as other information, drawn from original sources.
The information available  through the GSSA is diverse in nature, some of it for free and some of it available through one of the digital shops.
Information that is freely available through the eGGSA libraries include:
The two digital shops known as the OnlineShop and the WebShop.
  • Through the OnlineShop various collections are digitally available, such as GSSA Collection Familia, SAF/SAG registers, Voters' Roll 1984 and Gravestone Index (2021 Edition); Omnibus editions combining various families into one product; collections related to areas, groups and families (surnames); as well as published books.
  • Through the WebShop individual records can be selected and purchased, instead of the entire collection. Three collections of records are currently accessible in this way, namely the 1984 Voters' Roll, Cemetery Transcripts and the eSAGI database.
Archives contain primary and credible records that are of inestimable value to the genealogical researcher.
  • In order to introduce members to archives; help them to understand how to unlock this wealth of records; mine the information to its full potential, as well as develop and polish their research competencies, Archive Tours, or Archive Crawls, as they became known, are organised during the year.
  • Another very useful service is to be able to order copies documents from the archives through the eGGSA website. In this way the GSSA facilitates researchers' requirement to obtain copies of documents from the South African Archives repositories at Pietermaritzburg (NAB) for Natal, Durban (TBD), Bloemfontein (VAB) for the Orange Free State and Pretoria (TAB) for the Transvaal. Some previously collected images of  archived documents are available to search.
